Leasing

With approved credit, long term equipment leases are available. Call for details. Many small businesses find that leasing a high speed, fully featured fax or multifunction machine is highly desirable. Monthly lease payments are usually fully tax deductible, while outright purchase requires depreciating the cost of the unit over a period of 3-5 years. Leasing also conserves operating capital. In large offices where multiple users access the fax machine, leasing a machine with a 36-month maintenance contract included in the lease is cost effective. When equipment is used by large number of people, the machines tend to experience greated wear and tear and require more service. With a service contract in place, the employer avoids the additional expense of paying an employee to track down a qualified service technician when problems arise.

Leasing a fax machine for 36 months is an option for high speed dual access laser models costing over $1,500. Equipment leases typically offer $1 Buy Outs or 10% Buy Outs. Depending upon the terms of the contract, at the end of the lease term you may be able to purchase the equipment for $1, or for 10% of the sum of the payments, or simply return the equipment to the leasing company. At the end of a 36-month lease the equipment may be worn out. Buying or leasing new equipment with enhanced features in a few years may be more cost effective than purchasing a previously leased unit. The monthly lease payment for a $2,000 machine with a 10% Buy Out and 36 month term should be about $60-$70 (excluding maintenance and supplies).

Always read the fine print carefully before signing the equipment lease. Leasing companies do not cover the maintenance of leased equipment, however equipment dealers often pad the lease price by about $1,000 to cover 36 months of onsite maintenance (if desired). As long as the equipment dealer doesn't go out of business, maintenance will provided by the dealer (not by the leasing company). Fax machine supplies (toner, drum, developer) are seldom included in the lease payment. Supply items usually must be purchased separately as needed, and they can be quite expensive ($300 for a 10,000-page rated imaging unit).

If your business is cash poor, or if you simply want to conserve operating capital, leasing can be a smart move. Monthly lease payments are usually tax deductible, while the alternative is to pay for the machine up front, then depreciate it over a period of 3 to 5 years (consult your tax guru). After you've chosen a high speed machine, get competitive model specific prices, lease rates, and maintenance rates from several equipment dealers. You might consider obtaining competitive pricing from an equipment dealer in another state or city also, then arrange for local maintenance on an annual basis.

Leasing requires credit approval, and is usually available if you've been in business for more than two years.
